1.1 Copying Details from an Existing Asset
To reduce data entry, details can be copied from an existing asset and then amended as necessary using "Copy Fleet Item".
The values copied are determined by the "Copy Vehicle Preferences" reference file.
Go to More>>Reference Files>>Fleet>>Copy Vehicle Preferences and tick the columns you want to copy.
Copied values can be changed before saving the new asset.
1.2 Mandatory Data Requirements
When core data is saved in the first screen shown below, accordions and tabs appear to enter additional information.
•Registration, fleet and asset numbers must be no more than 20 characters
•Fleet number must be unique
•Delivery date and km are essential to forecasting and should be accurate
•Assets can be added prior to delivery using the status "On Order". Data can then be updated after delivery when details are confirmed e.g. delivery odometer/date
Details entered in tabs and accordions are explained throughout the Fleet chapters.
Remember that "Not Applicable " might be the right choice if the field doesn't apply the the asset type, but "Not Applicable" must be included in any related reference files.
Although this is mandatory data, the accordions contain many other important fields.

2. Adding Tools and Tool Kits
2.1 Introduction
Tools may be added and linked to assets as children, then included on printed job cards using parameter 730.
Tool kits can also be added by creating a toolkit and linking individual tools to it as children; tools are children of the tool kit and the tool kit is a child of the fleet item
Using tool kits means personnel can readily identify which shadow board, tool kit etc they require for job
Tools/tool kits can be hidden from the main grid view in fleet module using the filter on the menu
To Create Tools and Tool Kits
•Create them as you would a fleet item but tick the "Tool" flag in the MMSB, Categories and Flags accordion
•Link the tools to fleet items as children or via the tool kits in the "Parent/Child" tab
Example 1: Parameter 730 will include the tool kit on the job card

Note:
•When creating tools, choose "Not Applicable" for mandatory fields that are not relevant e.g. department hierarchy, transmission, fuel type etc
•Choose "No regime" so that services are not scheduled (unless you wish to schedule calibration, sharpening etc., for which programmed services are ideal)
•It is helpful to create a Fleet Type for "Tools" so that they can be categorised separately for reporting etc.
